QUESTION:

How do I process a refund for a payment made online?

Note: 

  1. Purchases made online may not be available for refund until 24 hours after purchase is made 
  2. SchoolCash Register payment recordings are to be refunded through the SchoolCash Register. 



Steps: Parent purchased item Online within the last 360 days: 

  • Select the SchoolCash Catalog module.
  • The View Items list is displayed.
  • Select the Student Attachments tab.
  • Search for the student that requires the refund.
  • Select the Refund option beside the name of the student you wish to refund.
  • Items that were purchased online will display. 
  • Click on the check box to the left of the item(s) that should be refunded. User can refund more than one item at the same time.
  • Enter the Refund Amount. (Partial refunds can be entered).
  • Enter the Reason for the Refund.
  • Confirm the transaction by selecting the Refund option. 
  • You will then be asked to Confirm or Cancel the transaction.
  • The individual will be refunded to the original method of payment.

How to Process a Refund – Online Payments 

There are two (2) options to refund online payments.  

Option 1: Individual Student  

Option 2: Group of Students 

 

Option 1:Individual Student Refund 

Step 1: Select Student Attachments tab  

 

Step 2Locate the student to refund 

 

  1. Enter either First Name / Last Name / Student Number / Household 

  1. Click Search 

  1. Locate student, then select Refund hyperlink. 

 

Step 3Locate the item to refund 

  1. Select item to be refunded (checkbox) 

  1. Click on Refund 

 

Step 4Process the Refund 

  1. Enter Refund Amount (partial refunds can be processed) 

  1. Enter Refund Reason  

  1. Click Refund 


Step 5Funds are returned to payee 

Please Note: 

  • The funds will be withdrawn from the school’s bank account that evening and returned to the payee’s bank account or credit card. 

  • A Batch Report will be generated 

  • A ledger transaction will be entered for the refund 

  • School Cash Catalog reports will reflect refunds immediately, the actual movement of funds will require a reasonable amount of processing time depending on the method of payment.
