Introduction
Managing forms efficiently in SchoolCash is essential to keep your list organized and prevent confusion. This guide will walk you through how to archive a form so it no longer is available to attach to items in the Catalog or District Catalog.
Why Archive a Form?
Archiving forms helps keep your form list up-to-date by hiding outdated or irrelevant forms. This prevents errors and makes it easier for users to select the correct forms when attaching them in SchoolCash Catalog or District Catalog items.
Steps to Archive a Form
You can archive a form using either of the following methods:
Method 1: Archive Directly from the Form
- Go to the SchoolCash Forms module and locate the form you want to archive.
- Click on the form to open its options.
- Select Archive. A pop-up notification will be displayed, explaining that archiving does not affect existing items that use this form.
- Click Yes to confirm archiving. The form's status will update to Archived and will be shown in grey with the Last Modified date updated.
Method 2: Archive Using the Actions Column
- Go to the SchoolCash Forms module and locate the form you want to archive.
- Click on the 3 dots in the Actions column next to the form.
- Select Archive from the dropdown menu. A pop-up notification will appear, explaining that archiving does not affect existing items that use this form.
- Click Yes to confirm archiving. The form's status will update to Archived and will be shown in grey with the Last Modified date updated.
Additional Information
Archiving a form does not impact any items it is currently attached to. These items can still be purchased, and the archived form remains visible within the item details, both in previews and online displays.
What Happens After Archiving?
Once a form is archived, it will no longer appear in the list of forms available for new items in the SchoolCash Catalog or District Catalog. However, it can still be previewed and copied. If copied, the new form will be in Draft status and must be published before being used.
Republishing an Archived Form
To republish an archived form, go to the form's details and select Publish. This will update the Last Modified date and make the form available again for selection when attaching forms to items in the Catalog or District Catalog.
