Whether setting up your initial chart of accounts during the SchoolFunds Online installation or adding new accounts throughout the fiscal year, go to Data Files, Account. There is an exception. If the district administrator has chosen to “prevent school users from adding, editing, and deleting accounts,” then these account functions will not be available to the school level users and will have to be performed by the district administrator.
During the initial setup, if an account has a balance, follow the setup instructions as explained in the Data Files Setup - Accounts. If the account has a 0.00 beginning balance (which will be the case if this account is added during the year), assign the new account a number, choose the Account Type (most likely ‘Net’), type in an Account Description and click on Save New to save. Once a new account is saved, it will display in numeric order in the account register grid at the bottom of the screen. Once saved, the only field that may not be changed is the account number. To edit any other account field, simply point and click on the desired account. The account will display in the upper portion of the screen. Make necessary changes and click on the Update button to save.
NOTE: Updates to accounts can also be made directly in the account grid. Depending on district settings, users can make accounts active or inactive and can also add or change account managers.
Account Status: To make an account inactive, click on the Status box. The A toggles to I. Click off and the account is saved and the account is now inactive (or click on I to make an account active again).
Add or change a Manager: Click in the Manager box for the account that needs to be changed or added. The entire line is highlighted. Type the new account manager directly in the Manager box. Click off and the name is automatically saved.

Beg Year Bal: District Admins can enter beginning year balances directly in this grid. Click in the Beg Year Bal box. The entire line is highlighted. Enter the balance on the account. Using the arrows on the keyboard you can navigate to the next line and continue entering balances. Each line is automatically saved when you move to the next line. When the last balance is entered, just click out of the box and the last balance is saved. This feature is for District Admin users only.
