QUESTION:  

How do you set up Event Codes for use on Checks and Receipts?

 

The Event Code feature is available to capture and report the profit or loss of a particular school event.  

 

  • The first step is to create an Event Code for the events you wish to track.  

 

  • Event data is captured as checks and receipts are entered into SchoolFunds Online.  

 

  • Event Code Profit / Loss reports and a listing of Event Codes are available through the Reports menu. 

 

  • The Datafiles > Event Code screen will display the Event Codes in alphabetical order in the lower part of the screen.   All columns in the grid may be sorted by clicking on the headings.

To add a New Event Code: 

 

  1. Enter the Event Code ID (required).  The ID can be up to 15 characters alpha and/or numeric.  
  2. Enter the Event Name (required) as it should appear on the Event Code reports. 
  3. Enter the Beginning Date of the event in a MM/DD/YYYY format or by selecting a date from the calendar. 
  4. Enter the Ending Date of the event in a MM/DD/YYYY format or by selecting a date from the calendar.  
  5. Enter the Sponsor’s name (optional) as you would like it to appear on Event Code reports. 
  6. Enter the Second Sponsor’s name, if applicable.  
  7. Sale– If you would like transactions for an Event Code to be included on the Profit/Loss Report using the “Run Sales Report” option, this box should be selected.  
    • If your district is set up for automated Sales Tax on Receipts, the “Total Sales Tax” will be reflected on the report.  
    • If your district does not capture sales tax on receipts automatically, no tax will be listed on the report, but you will see all receipts for that “Sale” Event Code.   

Note:  Beginning and Ending dates determine which event codes will be available on the New Check and New Receipt screens.  

  • Only current event codes will display.  
  • To continue using an Event Code, change the Ending Date to a future date.  

 

After completing the Event Code screen, click Save New to add the event code to the Event Code file.
