Introduction

In SchoolCash, attachments can be set as either Optional or Required. Understanding the difference between these settings helps ensure accurate item visibility, purchasing availability, and student commitments. This guide explains how each option works, when to use them, and what happens when items expire.

Optional Attachments

  • Gives parents/guardians the option to purchase the item.
  • If the item has a future start date, it will not be visible online or in the SchoolCash Register until that date.

What Happens When an Optional Item Expires?

  • If only an expiry date is set: The item will no longer be available for purchase online or in the SchoolCash Register after expiration. Example: Yearbooks.
  • If a due date is set: The item remains available for purchase until the due date. If unpaid, it appears as Overdue (green) until the expiry date. After expiration, it will no longer be available for purchase.
  • The item will no longer be a commitment to the student after expiration.

Required Attachments

  • Indicates to parents/guardians that the item must be purchased.
  • If the item has a future start date, it will not appear online until the start date.

Important Considerations

  • Caution: If an item is set as Required with a future start date, it will still be available for purchase in the SchoolCash Register as soon as it is saved.
  • Workaround: To prevent early purchase, attach the item the day prior or the day of its intended release.

What Happens When a Required Item Expires?

  • If unpaid, the item appears as Overdue (red) until payment is made.
  • The item remains a commitment to the student until it is paid, manually removed, or changed from Required to Optional.
