Overview
In SchoolCash Catalog, a Required attachment by Course is expected to have an Effective Cut-Off Date. If your school is not using the Effective Cut-Off Date feature, you can set the Effective Cut-Off Date to match the item End Date (also called the Expiry Date) so the full time the item is available acts as the “grace period.”
Before you begin All dates and times follow your district’s local time.
Steps
- Confirm whether your school is using the Effective Cut-Off Date feature for Required course attachments. Consider the entered Effective Cut-Off Date as the “grace period” for a student to drop this course and not be required to pay for the item.
- If you are not using the Effective Cut-Off Date feature, set the Effective Cut-Off Date to the same date as the item End Date (or Expiry Date).
- Keep the item available for purchase up to and including the End Date.
Outcome
Up to and including the End Date, a student can drop the course and the item is removed as a commitment (this functions as a grace period). After the End Date, the item remains a commitment (and is no longer treated as being within the grace period).
Troubleshoot
- You cannot enter a blank Effective Cut-Off Date for a Required course attachment > Use an Effective Cut-Off Date, or set it to the same date as the item End Date (Expiry Date). This setup extends the grace period to 11:59 PM (local time) on the End Date.
- A student drops a course and the commitment is not removed > Check whether the item End Date has already passed. If it has, the “grace period” has now ended and the required item will remain as a commitment.
- If you have completed the troubleshooting steps and still have an issue, contact your District Administrator.
