Overview
Item Availability in SchoolCash controls when an item can be purchased by using an End Time, and optional Due Date. If you use a Due Date, it must be earlier than the item End Date.
Before you begin
- All times are based on your district’s local time.
- If you enter a Due Date, it must be earlier than the item End Date.
- If an item is attached as Required with a future start date, it can still be available in SchoolCash Register as soon as it is saved and attached.
Details
SchoolCash Catalog
- In the Availability section, End Time indicates when the item is available for purchase.
- Start Time is set to 00:00 and is read-only.
- End Time defaults to 23:59 and is editable.
- If an item has a future start date, it does not appear online until the start date (whether it is attached as Required or Optional).
- Caution: If the item is attached as Required, it can be available for purchase in SchoolCash Register as soon as it is saved and attached. If you do not want it available in SchoolCash Register, wait to attach it until the day before (or the day of) the start date.
- The Due Date field is optional and indicates when payment is desired.
- Required items with an outstanding balance display as Overdue in SchoolCash Online after the Due Date(if entered).
- Required items remain overdue and can still be paid after the item End Date.
- Optional and Recommended items with an outstanding balance display as Overdue in SchoolCash Online after the Due Date(if entered).
- Optional and Recommended items are not available for payment after the End Time on the item End Date.
Due Date Behavior for Public and Attached Items
- If an item is Public and also attached to all students (or a student group), the Due Date is useful for the attached students because it can display the item as overdue for parents who have not paid online.
- For attached students, the item can show as overdue after the Due Date and remains overdue until the item expires (based on the item End Date).
- For public-only viewing (not tied to a student attachment), the item does not display as overdue to the public.
Due Date Behavior for Public-Only Unattached Items
- If an item is Public Only and not attached to students, using a Due Date does not make the item appear as overdue.
- For public-only items, rely on the item End Date to control when the item is no longer available.
SchoolCash Express
- When creating or editing an item, the Due Date field is optional and indicates when payment is desired.
- Required items with an outstanding balance can display as Overdue in SchoolCash Online after the Due Date(if entered).
- Required items remain available for payment after the item End Date.
- Optional and Recommended items with an outstanding balance can display as Overdue in SchoolCash Online after the Due Date(if entered).
- Optional and Recommended items remain available for payment only until the End Time on the item End Date.
SchoolCash Online Display and Notifications
- On the Items page, the item End Date displays, and the End Time displays when it is not the default value of 23:59.
- If a Due Date is selected, it can display instead of the End Date.
- No email notification is sent based on the Due Date or End Date. Use the Reminder Email feature to notify payers.
