Overview

Use these steps to make an SFO-only chart of account inactive at a school.


Making an account inactive is the recommended option when the account should no longer be used, but may still be needed for audit or historical reference. This article is about making an account inactive under a school in SchoolFunds Online. It is not the process for making an entire school inactive.


Before you begin

  • These steps apply to SFO-only accounts.
  • Use inactive instead of deleting an account whenever possible. Inactive accounts no longer appear in the Post to Account drop-down lists for Checks, Receipts, and JEs.
  • Delete an account only if you are certain it is no longer needed, there are no audit concerns, and the account has no activity and no beginning balance.
  • If the school also uses SchoolCash Online, this article does not cover removing a school from the SCO school list.


Steps

  1. Open SchoolFunds Online and go to the school that contains the account you want to update.
  2. Select Data Entry > Accounts.
  3. Locate and open the account you want to stop using.
  4. Edit the account record and change the account to Inactive.
  5. Save the change.
  6. Confirm the account no longer appears in the Post to Account drop-down lists used for Checks, Receipts, and JEs.

Outcome

The account remains in the school record for reference, but it is no longer available for day-to-day posting in Checks, Receipts, and JEs.


Troubleshooting

  • You are considering deleting the account - Use Inactive instead unless you are certain the account is no longer needed, there are no audit concerns, and the account has no activity and no beginning balance.
  • You deleted an account and need it again later - Return to the same area under the specific school and add the account back to the school's chart of accounts.
  • You need to make a school inactive, not an account inactive - Use the school-level process instead. This article applies only to accounts under a school.
  • You also need the school removed from SchoolCash Online - Contact Support for the SCO-specific steps.
