This article explains how to refund a Public or Unlisted item after it expires.


The expiry date removes the item from the district’s SchoolCash Online > Items web page, but the item can still be refunded.


Before you begin

  • Do not turn the Public or Unlisted toggle grey. It is not necessary to change an item from Public or Unlisted.
  • If you accidentally deactivate the Public or Unlisted toggle, you will not see the public or unlisted purchases.
  • To access the names again, select the Public or Unlisted toggle. You will then have access to the names of those who purchased using public or unlisted access.


Refund a public or unlisted item

  1. Select SchoolCash Catalog.
  2. Select the item requiring a refund from the Active or Expired list.
  3. Select the Refundtab.
    • The payments available for refund are displayed.
  4. If the item was attached to a student attachment as well as made Public or Unlisted, review the refund list carefully.
    • Public purchases appear after the school student attachment purchases.
  5. Select the checkbox beside the purchaser’s name.
    • The Refund field is activated.
  6. Enter the Refund Amount and Reason.
  7. Complete the refund.
    • The individual is refunded to the original method of payment.

Outcome

You can refund a Public or Unlisted item after it expires by selecting the item from the Active or Expired list and processing the refund from the Refund tab.


Troubleshooting

  • You cannot see public or unlisted purchases - Make sure the Public or Unlisted toggle is still selected.
  • You turned the Public or Unlisted toggle off by mistake - Select the toggle again to regain access to the purchaser names.
  • You cannot find the item on the web page - The expiry date removes it from the district’s SchoolCash Online > Items web page, but you can still select it from the Active or Expired list in SchoolCash Catalog.
  • You cannot find the public purchase in the refund list - If the item was also attached to a student attachment, look after the school student attachment purchases because the Public purchases appear afterward.
